Bristol City Women FC is built around community, identity, and supporter culture.

We want every experience with the club, online, in-store, and on matchday, to feel clear, trusted, and supporter-first. This policy explains how returns, exchanges, refunds, and personalised shirt orders are handled through our official online store.


1. Returns

We offer a 14-day return request window from the date your order is delivered.

To be eligible for a return:

  • Items must be unworn, unused, and in original condition

  • Original tags and packaging must be included

  • Proof of purchase is required

  • Items must not show signs of wear, washing, or damage caused after delivery

If your return is approved, we will provide return instructions and the correct return address.

Important

Returns sent without prior approval may not be accepted.

Depending on fulfilment location, returns may need to be sent to a designated warehouse or logistics partner rather than the club's registered office.


2. Return Shipping Costs

Return shipping responsibility depends on the reason for the return.

Faulty, Damaged, or Incorrect Items

If an item arrives:

  • Damaged

  • Faulty

  • Incorrect

  • Defective

We will cover the return shipping cost and may provide a prepaid return label where applicable.

Customer Preference Returns

This includes:

  • Incorrect size selection

  • Change of mind

  • Ordering the wrong product

  • Preference-based returns

In these cases:

  • Return shipping costs are the responsibility of the customer

  • Original shipping costs are non-refundable unless required by law

  • We recommend using a tracked shipping service


3. Personalised Jerseys & Custom Products

As part of the official Bristol City Women FC store experience, supporters may personalise selected products including:

  • Player name and number printing

  • Custom supporter names and numbers

  • Squad-specific printing

  • Competition or seasonal patches

  • Custom teamwear or made-to-order items

Because these items are produced specifically for each order, personalised products are non-returnable and non-refundable unless:

  • The item arrives damaged or defective

  • We supplied incorrect personalisation

  • The wrong item was shipped

Personalised items cannot be returned due to:

  • Incorrect size selection

  • Customer spelling errors submitted during checkout

  • Change of mind

  • Preference regarding print placement, colour, or style where this matches the approved order

Supporters are responsible for reviewing:

  • Spelling

  • Number selection

  • Shirt size

  • Team selection

  • Competition or patch options

before completing checkout.

To report an issue with a personalised order, contact us within 14 days of delivery and include:

  • Your order number

  • A description of the issue

  • Supporting photographs


4. Damages and Order Issues

Please inspect your order immediately upon delivery.

If your order arrives:

  • Damaged

  • Defective

  • Incomplete

  • Incorrect

We will review the issue and work to resolve it as quickly as possible.


5. Non-Returnable Items

The following items cannot be returned unless required under applicable consumer law:

  • Personalised jerseys

  • Custom printed products

  • Made-to-order products

  • Gift cards

  • Digital products

  • Opened hygiene-sensitive products

  • Clearance or final sale items where stated


6. Exchanges

We do not currently offer direct exchanges.

The fastest way to receive a different size or item is to:

  1. Return the original eligible item

  2. Place a new order separately

This does not apply to personalised products.


7. European Union & UK Consumer Rights

Consumers located in the United Kingdom or European Union may have statutory rights under applicable consumer protection laws.

Where applicable, customers may have the right to withdraw from eligible purchases within 14 days of delivery.

This right does not apply to:

  • Personalised products

  • Custom-made goods

  • Sealed goods unsuitable for return once opened for hygiene reasons

Nothing in this policy affects your statutory consumer rights.


8. Refunds

Once your return is received and inspected:

  • We will notify you whether the refund is approved or rejected

  • Approved refunds will be issued to the original payment method

Timing

  • Refunds are typically processed within 5–10 business days

  • Banking providers may require additional processing time

Important

  • Shipping charges are non-refundable unless required by law

  • If a return is rejected, the item may be returned to you at your expense

We have a 30-day return policy, which means you have 30 days after receiving your item to request a return.

To be eligible for a return, your item must be in the same condition that you received it, unworn or unused, with tags, and in its original packaging. You’ll also need the receipt or proof of purchase.

To start a return, you can contact us at store@bristolcitywomenfc.com. Please note that returns will need to be sent to the following address: [INSERT RETURN ADDRESS]

If your return is accepted, we’ll send you a return shipping label, as well as instructions on how and where to send your package. Items sent back to us without first requesting a return will not be accepted.

Damages and issues
Please inspect your order upon reception and contact us immediately if the item is defective, damaged or if you receive the wrong item, so that we can evaluate the issue and make it right.


Exceptions / non-returnable items
Certain types of items cannot be returned, like perishable goods (such as food, flowers, or plants), custom products (such as special orders or personalized items), and personal care goods (such as beauty products). We also do not accept returns for hazardous materials, flammable liquids, or gases. Please get in touch if you have questions or concerns about your specific item.

Unfortunately, we cannot accept returns on sale items or gift cards.


Exchanges
The fastest way to ensure you get what you want is to return the item you have, and once the return is accepted, make a separate purchase for the new item.


European Union 14 day cooling off period
Notwithstanding the above, if the merchandise is being shipped into the European Union, you have the right to cancel or return your order within 14 days, for any reason and without a justification. As above, your item must be in the same condition that you received it, unworn or unused, with tags, and in its original packaging. You’ll also need the receipt or proof of purchase.


Refunds
We will notify you once we’ve received and inspected your return, and let you know if the refund was approved or not. If approved, you’ll be automatically refunded on your original payment method within 10 business days. Please remember it can take some time for your bank or credit card company to process and post the refund too.
